As a fitness coordinator, you will be responsible for managing a professional and seamless residential wellness program. In this role, you will be the liaison between community management and instructors in regard to schedules, class updates, instructor updates, fitness center info, and anything else that may be necessary to ensure we are providing a standard-setting amenity.

Essential duties include:

  • Responsible for confirming monthly fitness schedules, locations by the beginning of the month, as well as make up classes
  • Maintain direct communication with instructors to ensure they will continue with their teaching schedules or if any changes need to be made based on community office team requests
  • Document all schedule requests and changes to monthly spreadsheet as well as keeping the community up to date on schedule changes, as applicable and ensure that Mindbody is up to date with changes
  • Participate in weekly meetings and communicate any schedule requests/changes to Wellness Channel Manager
  • Responsible to maintain and update class logs, as well as instructor pay rates, at least once a month or quarterly
  • Responsible to adhere to the spreadsheet checklist
  • Maintain attendance reports and communicate monthly
  • Maintain spreadsheet with updated instructor certifications and insurance information
  • Create, distribute and communicate monthly class flyers and calendars with the community and instructors
  • Responsible to send out weekly reminders and encourage active participation of the classes provided
  • Responsible for planning and preparing for communities in the pipeline with the manager for start dates
  • Complete contractor paperwork, Mindbody set up log in information, and onboarding materials with new instructor

Additional duties:

Instructor management duties:

  • Logging and tracking instructor sub requests
  • Coordinating instructor/subs community visits, community access, parking, gym info, etc
  • Weekly attendance checks and action plan for those with 0-2 residents attending
  • Checking in on instructors and maintaining monthly communication
  • Sending out any community updates (renovations, events, etc)
  • Managing daily last-minute issues (sick, car, etc)
  • Storing and sharing class photos and/or requesting class photos from instructors
  • Providing a positive line of communication
  • Promoting the company culture and standards
  • Providing the Wellness Channel Manager with instructor highlights and photos for monthly newsletter

Marketing and promotion duties:

  • Work with community managers to determine if any resident events may interfere with a class
  • Encouraging class reminders and promotion (if attendance is low) – send out weekly reminders in conjunction with the Marketing team
  • Encouraging instructors to send Torch management class photos for social media sharing
  • Manage resident raffles/prizes (i.e gift cards, yoga mats, or headphones for lucky winner)
  • Re-posting photos and tagging appropriate communities or management on social media
  • Choosing communities for the monthly/quarterly resident incentive prizes

You are a good fit if you have the following experience, education, and skills:

  • High school diploma or GED required, AA degree preferred
  • 5+ years of customer service experience
  • Proficiency in MS Word, Outlook, Excel & Power Point, etc
  • Effectively communicate with others (verbal/written)
  • Strong customer service fundamentals
  • Ability to manage stress and adapt to changing environment; comfortable with complexity
  • Ability to manage through ambiguity while building processes in a new and emerging business
  • Must have a commitment to service excellence with a friendly and positive attitude
  • Must have good interpersonal skills
  • Ability to multi-task and handle various duties at one time
  • Time-management and problem-solving skills is essential
  • Attention to detail and quality
  • Basic knowledge of fitness and wellness as needed to describe programs and services

Physical Requirements and Special Conditions of Employment:

  • Occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus
  • Ability to operate a motor vehicle and make community visits from time to time
  • Flexibility to work split schedule and/or be on call during irregular hours depending on business needs
