Reporting to the Senior Director of Marketing, the Event Coordinator  is responsible for coordinating events in the Eastern sales territories, including planning all aspects and ensuring the events run smoothly. Organization, problem-solving, brand standard implementation/oversight and a sense of urgency are necessary skills for this position.


Trade Shows/Events – Eastern Sales Territories

  • Coordinate details of events as conferences, trade shows, sales meetings, business meetings, associate appreciation events and virtual events.
  • Serve as an outstanding ambassador for the Valet Living brand, ensuring brand standards are rigorously implemented and enforced.
  • Lead capture and follow-up from trade shows.
  • Schedule speakers, vendors and participants.
  • Schedule email marketing blasts for pre and post-trade show communications to attendees.
  • Assist in coordinating trade shows including shipping, registration and attending as needed.
  • Coordinate and monitor event timelines and ensure deadlines are met.
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Keep inventory of trade show booths, display materials, etc.
  • Maintain trade show and event schedules/calendars.
  • Discuss trade show/event planning with RVP/RSMs to forecast budgets.
  • Host planning calls with Valet Living booth/event attendees.
  • Work with suppliers, contractors, associates, and many other parties at the same time to manage multiple aspects of trade shows.

Budgeting/Planning for Assigned Territories

  • Calculate budgets and ensure they are adhered to.
  • Track payables, invoices and expenditures for marketing to ensure timely payment (this includes obtaining approvals, collecting checks from accounting and sending them out via traceable methods).
  • Update, track and confirm marketing budget and sales team spending.
  • Organize procurement of marketing materials, trade show booth and display materials, and promotional giveaway materials.
  • Maintain inventory and responsible distribution of promotional giveaway materials.

Marketing Team Support

  • Contribute ideas for new marketing material, promotional items and trade show presence.


  • Update job knowledge by participating in educational opportunities.
  • Assist Sales and Operations teams with miscellaneous requests weekly, providing marketing thought-leadership when appropriate.
  • Ship materials as needed and requested by Sales and Ops team members.
  • As a member of the marketing team, assisting with any other tasks, duties, and projects within the department and helping with staying “on-brand” and as needed/assigned.

Education and Experience Requirements

  • Bachelor’s Degree in Marketing or related field preferred. High School Diploma or GED required.
  • Minimum of 1-3 years of related experience.
  • Demonstrated experience in organization, problem-solving and brand standard implementation/oversight.

Knowledge, Skills, and Abilities

  • Ability to work with a sense of urgency.
  • Requires periodically lifting and moving items weighing up to 50 pounds.
  • Requires standing for extended periods of up to four to six hours at a time.
